1. Who we are
Midfield is a household-native sports management platform operated by Midfield HQ, Inc. We provide registration, payment, roster, communications, and reporting tooling to clubs, leagues, teams, tournaments, and state associations.
You (“the operator”) sign up your organization for a tier on /pricing and agree to these terms.
2. Your data is yours
Your household, payment, roster, and audit data belongs to your organization. We export it on request in open, standard formats. No surcharge to leave. No proprietary lock-in. Honored within 30 days of a written request to hello@midfieldhq.com.
3. Subscription fees
The per-tier monthly subscription is published on /pricing. Monthly billing, on the calendar date you sign up. Annual billing (two months free) is available on any paid tier at the annual prices published on /pricing. Subscription tiers are banded by unique registered players over the trailing twelve months; exceeding a band prompts an upgrade at the next billing date, with no retroactive charge. No exit fee.
4. Platform transaction fee
For each transaction your organization processes through Midfield's payment integration, Midfield deducts a platform fee from your gross payout, at the percentage rate (capped per registration) published on /pricing for your current subscription tier.
Current rates (effective 2026-07-06)
- Free tier: 5.0%
- Kickoff tier: 2.5%
- Club tier: 2.0%
- Premier tier: 1.5%
- Association: 1.0% (custom contract)
The platform fee is capped at $5.00 per registration at every tier. Midfield never deducts more than $5.00 from any single registration, regardless of its amount.
Coach and facility accounts: payments collected for coach- or facility-hosted sessions and events are charged the Free-tier rate above (5.0%, capped at $5.00 per registration). The fee is deducted from the host's payout and is never added to, or itemized on, the amount a participant pays. Registrations with no payment collected through Midfield incur no fee.
4.1 Deducted from your payout, not added at checkout.
The fee is taken from the gross amount before payout via the payment processor's standard application-fee mechanic. The amount your members pay at checkout is exactly the registration price you set. The platform fee is never added on top of that price. It is not a line item, a surcharge, or any extra charge at checkout.
4.2 Where you see it.
The fee is recorded as a separate line on your payment processor's payout dashboard, on your /dashboard/reports/treasurer P&L view, and on the “Platform fees paid (last 30d)” tile on your treasurer surface.
4.3 Refunds.
On any refund, Midfield returns the platform fee to your account proportionally to the refund amount. (The payment processor's own card-processing fee is not refunded by the processor; Midfield absorbs that cost so your members are made whole.)
4.4 90-day notice on any change.
Midfield may not change the per-tier rate without 90 days' advance notice via email (sent to every administrator on your tenant account) and a published update to /pricing. You may downgrade or exit at any time during the 90-day window without penalty.
4.5 Cohort 1-25 grandfather.
Tenants in concierge cohorts 1-25 (designated by Midfield during onboarding) are subject to a 0% platform fee for their first 12 months of operation, regardless of tier. After 12 months, the tier's published rate applies. Midfield notifies you twice before the grandfather expires: 30 days out and 7 days out.
5. Privacy
See our Privacy Policy for what we collect and how we handle it. Card data: handled by the payment processor; Midfield does not store full card numbers. Medical / PHI fields: opt-in per record, never shared with state-level administrators.
